Meeting Ground Rules

So we actually had a meeting, to talk about how to behave at meetings. We white-boarded ideas, consolidated them, ranked them, and listed them on a document for all to sign. Going through this exercise made it easier to talk to each other when conversations strayed, and helped everyone be more productive. Below is our list, to modify to your company's meeting needs.
MEETING GROUND RULES
Ye Old Ground Round Rules for Meetings
As a committed participant in productive and respectful meetings, I agree to the following:
Be Punctual
I will arrive on time and ensure meetings start and end as scheduled. If early, I’ll use that time to connect with others—not just work or scroll on my phone.
Take Calls Discreetly
If I must take a call, I’ll do so outside the room and with minimal disruption.
Minimize Distractions
I’ll keep my laptop closed and phone silenced unless I need them for the meeting. Meetings are for engagement, not multitasking.
Prepare and Follow Agendas
Meetings I lead will have a clear agenda—and I will stick to it.
Respect the Agenda and Each Other's Time
Off-topic or one-on-one discussions will be moved to the “Parking Lot” for follow-up after the meeting.
Speak Honestly and Openly
I won’t hesitate to say, “I don’t know,” “I need help,” or “I don’t understand.” I won’t take feedback or decisions personally.
Engage with Purpose
I’ll be an active contributor, encourage others, and remember that every voice and idea matters.
Help Enforce These Guidelines
I will kindly remind others of these ground rules to help maintain a positive and effective meeting culture.
Keep It Human
I’ll embrace laughter and ensure we don’t forget to enjoy the journey.

One final note -- we still had one of our owner's occasionally say, "I know this is off topic, but.... ", which ultimately became an endearing phrase because we valued his wisdom and let's face it, it was his prerogative.
